Students, and parents who sign for their children. Your studio decides what it collects about you and why. We hold it for the studio. Ask your studio first if you want to see or change something. If that doesn't work, email us and we will help.

What we hold
About studios and staff
The studio's name and, if given, its website.
Each staff member's name, email address, role and, if the studio records it, pay rate.
What the studio enters: halls, classes, prices, passes, costs, teacher pay and cash counts.
A log of changes, with the name of the staff member who made each one.
About students
Name, and a mobile number or an email address.
An emergency contact, and how you heard about the studio, if you give them.
For a child: name, date of birth, and the parent or guardian who signed.
Whether you asked not to be filmed, and whether you asked for the studio's news.
The studio's waiver and code of conduct you agreed to: the version, the name you typed, and when.
Which classes you came to, your passes, and what you paid and how (cash, card or pass).
We never hold card numbers. ClassMetrix does not take payments. It records that a payment happened.
About everyone who uses the site
Pages viewed and what was tapped, measured and in places recorded. See Measuring and recording.
Your internet address (IP), when you use a sign-up or sign-in form or open the demo, to stop abuse. We delete this after one day.
Where you came from, if the link you followed said so (for example, a link in an email).
When you contact us
The contact form: your email address, your name, studio and message if you give them, the page you sent it from, and your internet address, to stop abuse.
The chat button: what you type in the chat, your email address if you give it, and your browser, device and rough location.
Email to hello@classmetrix.app: your message and your email address.
All three go to our customer inbox, Chatwoot, which we run ourselves. We use them only to reply. We keep the conversation so we can see what was said before, until you ask us to delete it.
What we use it for
To run ClassMetrix for the studio.
To email sign-in and set-up links to staff.

To find and fix the parts of the app that confuse people.

We do not sell anyone's information. We do not email students. Nothing about students, and nothing from inside the staff app, goes to an advertising company. If you asked for a studio's news, that news comes from the studio.
Measuring and recording
We use Umami, open-source software, to count visits and to record how the app is used.
What is measured, on every page
The page, the time, the site you came from, your browser, device and screen size, and your rough location (country and city, worked out from your internet address).
A few steps, such as "trial started", "demo opened" and "first check-in".
For signed-in staff, a random account number, so one person's visits count as one. Never a name or an email address.
What is recorded
On the trial sign-up page, the demo page and the staff app, we record the session: taps and clicks, scrolling, and moving between screens. We watch these to see where people get stuck.
All text is hidden before the recording leaves your browser. That includes everything typed into a box and every name and amount on the screen. We see the layout and where you tapped. We do not see students' names, phone numbers or money.
A recording stops after five minutes.
Recordings are deleted after 30 days.
Not recorded: the home page, the sign-in page, the contact page, this page, the chat, and the form students fill in to sign up.
How to opt out
Turn on "Do Not Track" in your browser. We then measure nothing and record nothing. ClassMetrix works the same.
The demo
We also keep our own count of demo opens, tour steps and "Start trial" clicks. It holds no name, email or internet address.
Measuring our ads
We advertise in ChatGPT. To learn whether an ad led to a trial, we use OpenAI's ads measurement tag on these pages only: home, demo, trial sign-up, sign-in, contact and this page. It is not in the staff app or on the form students fill in.
In your browser, the tag tells OpenAI which of those pages you viewed, that you opened the demo, and that you sent the trial form. It sets two cookies: one holding the ad you clicked, if you came from one (30 days), and one random browser number (one year). It may scramble (hash) the email address you type into the trial form before sending it.
From our server, when you send the trial form and when you create your studio, we tell OpenAI that it happened, with your email address scrambled (hashed) so it can't be read, a scrambled studio number, your internet address and your browser type.
OpenAI uses this to match the sign-up to an ad click and count it for us. We see totals, not people.
To opt out, turn on "Do Not Track" or "Global Privacy Control" in your browser. The tag then doesn't load, and our server sends nothing about you.
Cookies and browser storage
One cookie, to keep staff signed in. It lasts 30 days, or one day for the demo.
Small notes kept in your browser: where you first came from, your place in the demo tour, and that your first check-in was counted.
The chat keeps a cookie and a note in your browser, so a conversation you started carries on when you come back. It is set by our Chatwoot at inbox.123teq.com.
Ads measurement: OpenAI's tag sets two cookies on the public pages. See Measuring our ads.
Umami sets no cookies.
Who else handles it
Cloudflare runs the website, the database and outgoing email. Like any web host, it sees your internet address.
OpenAI receives the ads measurements above, in the United States. See Measuring our ads.
DigitalOcean hosts the servers our Umami and our Chatwoot run on. Umami's measurements and recordings, chats and messages stay on those servers. They do not go to an analytics, advertising or sales company.
We may also disclose information if the law requires it.
Where it is kept
The database is in the United States. If you are in Australia or elsewhere, your information is stored and handled outside your country. Chats and messages to us are kept in Australia.
How long we keep it
Studio and student records: while the studio uses ClassMetrix. A studio can download its students and check-ins at any time.
After a studio leaves: we delete its records within 30 days of being asked.
Recordings: 30 days.
Internet addresses from sign-up and sign-in forms: one day.
Chats and messages to us: until you ask us to delete them.
Your choices
See or fix what is held about you: ask your studio, or email us.
Delete it: ask your studio, or email us. We act within 30 days. A studio may need to keep a signed waiver for its own records.
Stop being measured and recorded: turn on Do Not Track. It also stops ads measurement, as does Global Privacy Control.
Complain: email us first. In Australia you can also go to the Office of the Australian Information Commissioner (oaic.gov.au). You may have more rights where you live, such as under GDPR in the EU and UK. We honour them.
Children
A parent or guardian signs up anyone under 18 and agrees on their behalf. We hold a child's name and date of birth for the studio, and nothing else about them beyond their classes and passes.
Keeping it safe
Each studio's records are kept apart from every other studio's. Only that studio's staff can see them. Door volunteers cannot see money totals, pay rates or signed forms. Everything travels encrypted. No system is perfectly secure, and we will tell affected studios if something goes wrong.
